This Privacy Policy explains how NosTale Raid Helper (the "Bot", "we", "us", or "our") collects, uses, stores, and deletes data when you use the Bot on Discord.
1. Data We Collect
The Bot only collects data needed to provide raid and marathon management features. Depending on how a Discord server uses the Bot, we may collect and store the following data:
- Discord user IDs;
- Discord user mentions;
- Discord usernames, display names, or organizer names shown by Discord;
- Discord server IDs;
- Discord server names;
- Discord message IDs related to raid or marathon posts;
- selected raid, duration, date, time, and notes;
- roles selected or mentioned for notifications;
- participants registered for a raid or marathon;
- selected specialists, elemental group, or similar raid-related choices;
- waitlist data, when a waitlist is used;
- server configuration and settings needed for the Bot to operate.
2. How We Collect Data
Data is collected when users or server administrators interact with the Bot, including through Discord commands, buttons, select menus, modals, messages, or other Discord interactions supported by the Bot.
Some data is provided directly by Discord through the Discord API when the Bot receives an interaction or needs to display raid and marathon information inside a Discord server.
3. Why We Use Data
We use the collected data only to operate the Bot and provide its features, including to:
- create, update, display, and delete raid or marathon posts;
- manage raid signups, participants, specialists, elemental groups, and waitlists;
- notify selected Discord roles about raids or marathons;
- store server-specific configuration and preferences;
- prevent abuse, debug issues, and maintain the reliability of the Bot.
We do not sell personal data. We do not use collected data for advertising or behavioral profiling.
4. Where Data Is Stored
Bot data is stored in a PostgreSQL database. The Bot may be hosted and operated using Railway or similar infrastructure providers.
Data may also pass through Discord's own systems because the Bot operates through Discord and the Discord API.
5. Data Visibility
Raid and marathon information is typically displayed inside the Discord server where the feature is used. This may include organizer names, participant mentions, selected specialists, selected roles, notes, raid details, dates, and times.
Server administrators and users with access to the relevant Discord channels may be able to see information posted by the Bot in that server.
6. Data Retention
Data is kept only for as long as needed to provide the Bot's raid and marathon management features.
Raid and marathon data is generally removed when the related raid or marathon is deleted. Data may also be removed or aged out later through periodic cleanup processes, especially for old or inactive raid and marathon records.
Some limited data may remain temporarily in backups, logs, or infrastructure systems until those systems are rotated, cleaned, or overwritten.
7. Data Sharing
We do not sell, rent, or trade user data. We do not share user data with advertisers.
Data may be processed by infrastructure providers used to host the Bot and its database. Data may also be processed by Discord because the Bot uses Discord services and the Discord API.
We may disclose data if required to comply with applicable law, enforce these terms, or protect the Bot, users, or Discord servers from abuse.
8. Data Deletion Requests
Users or server administrators may request deletion of data related to them or their Discord server by contacting us through the support server: https://discord.gg/qam5PEBRhX.
To help us process a deletion request, please provide the relevant Discord user ID, Discord server ID, marathon or message ID, and a short explanation of the request. We may need to verify that the requester is authorized to request deletion for a server or server-managed data.
9. Security
We take reasonable steps to protect stored data and limit access to the systems used to operate the Bot. However, no online service or database can be guaranteed to be completely secure.
10. Third-Party Services
The Bot operates on Discord and uses the Discord API. Your use of Discord is also governed by Discord's own terms, policies, and privacy practices:
11. Children's Privacy
The Bot is intended for use within Discord servers and is not designed to knowingly collect data from children outside the normal operation of Discord. Users must comply with Discord's age requirements and applicable laws.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we make changes, we will update the "Last updated" date at the top of this page. Continued use of the Bot after changes are posted means you accept the updated Privacy Policy.
13. Contact
